Step 1: Consultation

Before any event comes the initial idea. Whether you already have an event type in mind or not, it’s important to gather all the important information such as location, date, theme and capacity. Without these details, there would be no event! Whether you’re working with an event planner or doing it yourself, the consultation step is crucial in making sure you’ve thought of everything, from catering to parking.

Understanding what your event will be and why you’re holding it can help you get to grips with the next stage and begin putting the pieces together.

Step 2: Coordination

The second step in planning a successful event is coordination, which means arranging all the necessary vendors and suppliers to make the event happen. Depending on the type of event you are planning, this list can get very long, so be sure to have a team looking after the various areas to keep things running smoothly.

Consider vendors for food and drink, as well as booking entertainment acts, photographers or transportation suppliers. It can be helpful to think about your event from start to end, and what facilities your visitors will likely need.

One of the most important facilities to remember is toilet hire! Hygiene facilities are an absolute must and should not be overlooked. Make sure you have enough toilet hire and even shower hire to accommodate your guests. The right hire company can deliver these facilities for you and pick them up when you’re done.

Step 3: Execution

On the day of the event, or over the weekend if it’s a longer event, the work doesn’t stop! Think about the people who are running the event and what they will need on the day. Has everything on your checklist been ticked off?

Consider having an on-site office or welfare unit for event staff to manage the event and have somewhere to rest or eat. You should also think about how event staff will communicate with each other or with the act’s management teams, should any problems arise.
